DISK SPACE MANAGEMENT

How much disk space does my account have?
All University student email accounts have a 65 MB size limit. This is also called the "disk space quota." When a mailbox reaches the 65 MB limit, incoming email may not be delivered and the sender will receive an error message indicating the recipient's mail box is full. Additionally, you may not be able to open the Inbox. The error message "Cannot allocate database object - database would exceed its disk quota" indicates that your mailbox is full. As soon as you delete messages, and empty the trash, space becomes available for incoming messages.

How can I find out the size of my email account?
There is a disk space indicator in the Inbox which displays the percentage of disk space in use.  As messages are received the disk space indicator will change. However, the disk space indicator does not automatically change when messages are deleted. After you delete messages and empty the Trash, the system will allow you to use this space to receive messages. After the compact utility runs during the night, the disk space indicator will be updated.  The compact utility is run every day at 5:00 pm, 11:00 pm and 5:00 am.  It will compact any student email account that has at least 5% "white space" (usable space after you empty the trash).    Please note that the system always uses 17 MB of space.  Even if your email account is empty, the disk space indicator will show at least 26% in use.

Can my disk space be increased beyond 65 MB?
The disk space quota cannot be increased on a permanent basis. However, you can request a temporary increase of 2 MB.  To request additional disk space, click the following link.

Your disk space quota will be increased for a period of three days. At the end of the three days the disk space quota for your email account will be reset to 65 MB. If your account is still larger than 65 MB, your existing email will remain; however, incoming email may not be delivered and you may not be able to open the Inbox.

How do I cleanup my email account when it is full?
There is a utility to delete all student announcements except for the three most recent.  Click the following link to use this utility.

If your email account is at the 65 MB limit, you may want to forward your email to another account, such as the free web-based email services.  This will insure that you continue to receive email until you are able to cleanup your account.

Saving email into folders will not reduce the size of your account. These messages will still count as part of your disk space in use.

Your email account displays the size of each message. When cleaning up your mailbox, concentrate on the largest messages first.  Click the arrow in the "Size" column of the Inbox to view the largest emails.  Look for messages that are marked with a paper clip icon, which indicates the message has an attachment. These are often very large. If you need the information in the attachment, use the detach feature to save the attachment to another location, then delete the message from your email.

Don't forget to delete email from your "Sent" folder.

When you delete messages, they are moved to the Trash. You must select the "Empty Trash" option to immediately delete the items and recover disk space. If you do not empty the trash, items in the Trash folder are removed by the system after 48 hours.

Why am I still over my disk space quota if I have deleted everything in my Inbox?
You may have email in the "Sent" view. These messages are copies of your outgoing email. When you compose an email there is the option of sending only or sending and saving a copy. You can set the default value of this option in your Preferences.
